When you are in the early stages of planning your research, you need to consider the timeframes for the ethics processes \u2013 these will vary depending on a number of factors such as time of year, the quality of your application, and the risk category of your research.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">When you submit your ethics application, we will do a preliminary check for completeness \u2013 to see that the application has been filled out sufficiently and that supporting documentation has been provided so that we can <strong>triage<\/strong> your application to one of the following categories. Any incomplete applications will be returned to you requesting <strong>additional information.<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">At Curtin, we refer to the risk levels as <strong>negligible<\/strong> (minimal) risk, <strong>low risk<\/strong>, and <strong>non-low risk<\/strong>. We also have an <strong>exemption<\/strong> process, where certain studies which meet specific requirements, (as outlined in the National Statement 5.1.17) can be exempt from ethical review. Additionally, we have a <strong>reciprocal<\/strong> process for studies that have already gone through an ethical review process at another institution.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><a href=\"#negligible\">Negligible risk<\/a><\/li>\n\n\n\n<li><a href=\"#low-risk\">Low risk<\/a> <\/li>\n\n\n\n<li><a href=\"#non-low\">Non-low risk<\/a> <\/li>\n\n\n\n<li><a href=\"#recip\">Reciprocal approvals<\/a> <\/li>\n\n\n\n<li><a href=\"#exemptions\">Exemptions<\/a><\/li>\n\n\n\n<li><a href=\"#supporting\">Supporting documents<\/a><\/li>\n<\/ul>\n\n\n\n<h2 id=\"negligible\" class=\"wp-block-heading\">Negligible risk review<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">The lowest risk level for human research is called <strong>negligible<\/strong> risk \u2013 research where there is no foreseeable risk of harm or discomfort but may have potential for minor burden or inconvenience.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This could include things such as completing interviews or surveys on topics that aren\u2019t likely to cause any distress or upset.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Once the complete application has been received, a negligible risk application will be reviewed by the Ethics office in order that they are received. This process can take <strong>between 1-3 weeks, <\/strong>depending on a number of factors, such as busy periods of the year.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">We will advise whether your application has been <strong>approved<\/strong>, approved with<strong> special conditions<\/strong>, or not yet approved with <strong>minor amendments<\/strong> or <strong>major amendments<\/strong> to be made.<\/p>\n\n\n\n<h2 id=\"low-risk\" class=\"wp-block-heading\">Low risk review<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Research that is more than inconvenience to participants and which may involve risk of <strong>discomfort <\/strong>is considered Low Risk. These applications will need to be reviewed by a Low-Risk Reviewer from within your School or Faculty, or with relevant subject matter knowledge to conduct the review.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Low risk research<\/strong> is research in which the only foreseeable risk to participants is <strong>discomfort<\/strong>, rather than harm. Discomfort may include emotional, psychological or physical discomfort that is temporary, mild and unlikely to have lasting consequences. Examples of low risk research include interviews or focus groups discussing personal or potentially sensitive experiences, completion of questionnaires on topics that may cause mild emotional distress, collection of non-invasive biological samples (such as saliva or cheek swabs), or non-invasive physiological measurements where participation may be uncomfortable but is not expected to result in harm. Research where there is any foreseeable risk of harm to participants is not considered low risk and requires a higher level of ethical review, see <strong>non-low risk<\/strong> below.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The time frame for a low-risk review can be between <strong>3 \u2013 6 weeks<\/strong>. Research in this category carries risk of harm and is therefore considered higher risk research that requires review by a Human Research Ethics Committee (HREC)<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Research is generally considered greater than low, or risk where there is a foreseeable risk of harm. Therefore, we recommend submitting your application prior to the deadline, to allow time for this process if necessary. Applications that miss the deadline for a committee meeting will be considered for the following meeting.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><\/p>\n\n\n\n<h2 id=\"recip\" class=\"wp-block-heading\">Reciprocal approvals<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">If your research has already been through an ethical review process and has been approved by another Human Research Ethics Committee (HREC) within Australia (and that is <a href=\"https:\/\/www.nhmrc.gov.au\/research-policy\/ethics\/human-research-ethics-committees\">registered with the NHMRC<\/a>), then you should apply for <strong>Reciprocal<\/strong> approval.&nbsp; The National Statement states that duplication of ethical should be avoided, therefore if you are able to provide evidence from another NHMRC registered HREC of the approval, we can reciprocate that approval at Curtin.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">In these cases, we just need for the approval letter from the lead HREC, and the application form that was submitted to the lead HREC to be uploaded with the Reciprocal Approval application form in InfoEd. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">We need to see <strong>at least one of the researchers in the InfoEd application are listed on the lead HREC approval letter<\/strong> or application. We do not need to review supporting documents such as PIFs, consent forms and other documents if they have already been approved by the lead HREC.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If the study has been reviewed and approved by an international HREC, you can still apply for reciprocal approval through InfoEd. However, in these circumstances you do need to upload:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>the approval letter<\/li>\n\n\n\n<li>the full application that was submitted to the approving institution<\/li>\n\n\n\n<li>all supporting documents approved by the approving institution<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">If we can determine that the approving institution has at least the minimum ethical standards as the National Statement, we can reciprocate the ethics approval.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Note: Whilst we have the ability to reciprocate overseas ethics boards\u2019 approvals, we must be satisfied the ethics review meets the minimum standards of the NHMRC National Statement. Otherwise, a full ethics review is warranted through the Curtin Human Research Ethics Committee.<\/p>\n\n\n<mimas-block id=\"exemptions\"\n        block-name=\"tabs\"\n        role=\"complementary\"\n        aria-label=\"Tabs\"\n        data-segment=\"all\"\n        data-easy-tabs>\n\n    \n<div class=\"block-heading\"\n     data-segment=\"dom\"\n     data-style=\"\"\n     data-align=\"default\"\n>\n\n                                <h2 class=\"block-heading__title \" id=\"ethics-exemptions\">Ethics exemptions<\/h2>\n            \n                        \n                                <div class=\"block-heading__content\"><p><!-- wp:paragraph --><\/p>\n<p>As per the National Statement section 5.1, there are situations where collection of human data can be exempt from ethical review. Any sharing of data during or after the project would be restricted to projects that would not increase risk of data reidentification.<\/p>\n\n                <\/div>\n                            <div role=\"tabpanel\"\n                     aria-labelledby=\"tab-dom-scenario-b\"\n                     id=\"tabpanel-dom-scenario-b\"\n                     class=\"content tab-content--desktop\">\n                    <h3 class=\"h2\">Scenario B<\/h3>\n                    <ol type=\"i\">\n<li><span style=\"font-size: 14pt;\">The research is survey-based only and the risk to participants is no more than discomfort.<\/span><\/li>\n<li><span style=\"font-size: 14pt;\">No personal identifiers are recorded.<\/span><\/li>\n<li><span style=\"font-size: 14pt;\">The research outcomes are highly unlikely to cause distress to anyone associated with the information or the outcomes of the research.<\/span><\/li>\n<\/ol>\n\n                <\/div>\n                            <div role=\"tabpanel\"\n                     aria-labelledby=\"tab-dom-scenario-c\"\n                     id=\"tabpanel-dom-scenario-c\"\n                     class=\"content tab-content--desktop\">\n                    <h3 class=\"h2\">Scenario C<\/h3>\n                    <ol type=\"i\">\n<li><span style=\"font-size: 14pt;\">The research is low risk and the risk to participants is no more than discomfort.<\/span><\/li>\n<li><span style=\"font-size: 14pt;\">It involves only observation in a public setting (Note: a setting is considered public if you do not need specific permission to observe people there).<\/span><\/li>\n<li><span style=\"font-size: 14pt;\">No personal identifiers are recorded.<\/span><\/li>\n<li><span style=\"font-size: 14pt;\">The research outcomes are highly unlikely to cause distress to anyone associated with the information or the outcomes of the research.<\/span><\/li>\n<\/ol>\n\n                <\/div>\n                            <div role=\"tabpanel\"\n                     aria-labelledby=\"tab-dom-scenario-d\"\n                     id=\"tabpanel-dom-scenario-d\"\n                     class=\"content tab-content--desktop\">\n                    <h3 class=\"h2\">Scenario D<\/h3>\n                    <ol type=\"i\">\n<li><span style=\"font-size: 14pt;\">The research is low risk.<\/span><\/li>\n<li><span style=\"font-size: 14pt;\">It uses only information which has been made publicly available by an act of legislation or regulation. Examples are mandatory reporting information, information obtained from registries of births and deaths, coronial investigations or reports from the Australian Bureau of Statistics. (Note: Data is considered publicly available if you are not required to login or be granted permission to access it).<\/span><\/li>\n<\/ol>\n\n                <\/div>\n                            <div role=\"tabpanel\"\n                     aria-labelledby=\"tab-dom-scenario-e\"\n                     id=\"tabpanel-dom-scenario-e\"\n                     class=\"content tab-content--desktop\">\n                    <h3 class=\"h2\">Scenario E<\/h3>\n                    <p>i. The research is low risk.<br \/>\nii. It involves only previously collected data which is de-identified prior to being accessed by the research team<br \/>\niii. Any sharing of data during or after the project would be restricted to projects that would not increase risk of data reidentification.<\/p>\n\n                <\/div>\n                        <\/div>\n<\/div>\n<\/mimas-block>\n\n\n<h5 class=\"wp-block-heading\">Things to consider&nbsp;<\/h5>\n\n\n\n<ul class=\"wp-block-list\">\n<li>An ethics exemption is not an ethics approval. You&nbsp;won\u2019t&nbsp;receive an HRE2026-xxxx approval number, but an exemption number EX8xxxx.&nbsp;<\/li>\n\n\n\n<li>Some journals will not allow you to publish if your research has not received ethics approval.&nbsp;&nbsp;<\/li>\n\n\n\n<li>We&nbsp;don\u2019t&nbsp;recommend that researchers change their research&nbsp;solely&nbsp;to&nbsp;fit into an exemption category.&nbsp;<\/li>\n<\/ul>\n\n\n<mimas-block id=\"supporting\"\n        block-name=\"tabs\"\n        role=\"complementary\"\n        aria-label=\"Tabs\"\n        data-segment=\"all\"\n        data-easy-tabs>\n\n    \n<div class=\"block-heading\"\n     data-segment=\"dom\"\n     data-style=\"\"\n     data-align=\"default\"\n>\n\n                                <h2 class=\"block-heading__title \" id=\"supporting-documentation\">Supporting documentation <\/h2>\n            \n                        \n                                <div class=\"block-heading__content\"><p>As well as completing the Human Research Ethics Application (HREA) form, you will need to provide several supporting documents. Which documents you need to provide will vary, depending on your specific research. The following is a guide to the most common forms of supporting document, when we require them, and what specific information they should contain. tab-content--desktop\">\n                    <h3 class=\"h2\">Participant Information Statement <\/h3>\n                    <p>Participant Information Statements (PIS), or Participant Information Forms (PIF) are essential documents to ensure your participants are giving f<strong>ully informed consent.\u00a0<\/strong>Their purpose is to provide all essential information about the research, in a clear and concise format. This includes information about what the research is about, what they have to do, what the time commitment is, what will happen with their data, will they be identified in the research, can they withdraw, what are the risks, among others.<\/p>\n<p>You can find a <a href=\"https:\/\/infoed.curtin.edu.au\/curtin\/images\/HumanEthics\/HREPIFTemplate.docx\">PIF template<\/a> which includes instructions and example wording which you can use in the Help section in<a href=\"http:\/\/infoed.curtin.edu.au\"> InfoEd.<\/a><\/p>\n\n                <\/div>\n                            <div role=\"tabpanel\"\n                     aria-labelledby=\"tab-dom-recruitment-materials\"\n                     id=\"tabpanel-dom-recruitment-materials\"\n                     class=\"content tab-content--desktop\">\n                    <h3 class=\"h2\">Recruitment materials <\/h3>\n                    <p><span style=\"font-size: 14pt;\">Recruitment materials will vary depending on your specific recruitment strategy. These may include emails, social media posts, flyers (for online or print). You need to send us templates of what you intend to send out in order to recruit participants.<\/span><\/p>\n<p><span style=\"font-size: 14pt;\">You should ensure that your materials<\/span><\/p>\n<ul>\n<li><span style=\"font-size: 14pt;\">are aimed at your target population<\/span><\/li>\n<li><span style=\"font-size: 14pt;\">contain a short description of what the project is about<\/span><\/li>\n<li><span style=\"font-size: 14pt;\">outline what participation involves, and what the time commitment is<\/span><\/li>\n<li><span style=\"font-size: 14pt;\">state that the research is contributing towards a University qualification (if applicable)<\/span><\/li>\n<li><span style=\"font-size: 14pt;\">include the Curtin logo<\/span><\/li>\n<li><span style=\"font-size: 14pt;\">include clear details of who to contact &#8211; we advise using your student name in the email address not your student number, and not providing a personal mobile number<\/span><\/li>\n<li><span style=\"font-size: 14pt;\">include the statement Curtin University Human Research Ethics Committee (HREC) has approved this study<\/span><br \/>\n<span style=\"font-size: 14pt;\">(HRE202X-XXXX) &#8211; we will confirm your specific the approval number when we approve your application<\/span><\/li>\n<li><span style=\"font-size: 14pt;\">if participants are being offered a reimbursement for participation, researchers are not encouraged to provide the dollar value on recruitment materials. It is appropriate to say they will be thanked with a &#8220;gift card&#8221; for example, and the specifics can be given in the PIF.<\/span><\/li>\n<\/ul>\n\n                <\/div>\n                            <div role=\"tabpanel\"\n                     aria-labelledby=\"tab-dom-consent-form\"\n                     id=\"tabpanel-dom-consent-form\"\n                     class=\"content tab-content--desktop\">\n                    <h3 class=\"h2\">Consent form<\/h3>\n                    <p>All participants must give consent prior to participating in your research. However, there are many ways for that consent to be given. A consent form is just one of those ways.<\/p>\n<p>We have a Consent Form template available in InfoEd under the Help tab. The template has a range of optional checkboxes and non-optional bullet points. Where there is a statement that a participant has the choice to decline or accept, such as &#8220;I agree to being contacted by the research team for follow-up interviews&#8221; this may be a situation where they can reasonably participate in the study without agreeing to the follow-up, and offering &#8220;I do&#8221; and &#8220;I do not&#8221; checkboxes is appropriate.<\/p>\n<p>However, if the study involves a focus group and you intended to audio record these focus groups in order to later transcribe and analyse the transcripts, you would include a non-optional bullet point on the consent forms &#8220;I agree to being audio recorded&#8221; &#8211; This is because it would be impossible for one member of a focus group to opt-out of being audio recorded, so offering an optional checkbox would not make sense.<\/p>\n<p>For online surveys and questionnaires, we recommend having a <strong>consent statement<\/strong> with a<strong> check box<\/strong> the participant must check &#8220;yes&#8221; to before proceeding to the survey questions.<\/p>\n<p>For some researchers who are conducting recorded interviews, you may choose to record the verbal consent at the start of the interview, in lieu of a consent form.<\/p>\n<p>In some circumstances, it is not appropriate or possible to seek consent.
